Affinity Search Partners recruits for IT and information systems roles. Employers engage us to find contractors, people who begin on contract and may later join the payroll, permanent hires and technology leaders. Throughout this page "we" is Affinity Search Partners, and "you" is whoever is reading, whether an email from us brought you here or you found the site on your own.

Two things sit under this policy: the website you are looking at, and the emails our business sends.

Getting in touch with people we have never met is part of recruiting. The people we write to work at companies, in roles connected to hiring, managing or leading technical teams, and we write to the email address they use at work. Occasionally the approach is a telephone call to a business number, or a letter to a business address, instead of an email.

An approach happens only where we have reason to believe our work could matter to that person's role. Anyone who would rather not hear from us can say so, and we stop.

Everything we hold about a person is business information, gathered where it happens to be available. It can include:

• Contact details for work: a name, a title, an employer, the email address used at work, a business phone number and a professional profile link, where each of these exists.
• Facts about the employer: what the company does, roughly how large it is, where it is, and its website.
• Business activity that is already public: job postings, company news, and posts made openly on professional networks.
• A deliverability check: before we send to a work address we test whether it can receive mail, and we keep the result.
• Correspondence with you, plus our own notes from conversations.

Visiting this site adds little. No cookies are set and no analytics run. The company hosting the site keeps the routine technical logs every web server keeps, and the typeface comes from a font service, so that service sees the IP address of your device as the page loads.

Sensitive categories of information (health, beliefs, politics, orientation, biometrics and the like) are neither sought nor wanted.

Three sources, no more. Public ones first: company websites, job boards, news outlets and professional networking profiles. Then commercial providers of business data, who sell contact and company records to firms of our kind. Then you yourself, whenever you reply, complete a form or speak with us.

The information serves a short list of ends: deciding whether our work is relevant to someone before writing; contacting that person at work; testing an address before mail goes to it; answering when someone writes back and, on request, discussing or delivering our services; maintaining the do-not-contact list; and protecting our systems and meeting what the law asks of us.

Whether an email has been opened is not something we track.

Replying to any message from us, using whatever words you like, ends our emails to you. No form, no required phrasing. If the approach was a phone call, telling the caller is enough. The request is acted on promptly, and never later than ten business days after it reaches us.

After that, your name and address sit on our do-not-contact list. Its job is to make sure you are not approached again, whichever source might supply your details next, including a data provider handing them to us afresh. Deleting an entry would defeat the list, so it is the single record we retain even when everything else about you has been erased.

Nobody buys personal information from us and nobody rents it. It is never passed along so another business can market to you, and never used for targeted advertising.

Some providers work on our behalf and see information in the course of that work, on the condition that they use it for nothing else: the firms running our email and mailboxes, the address-verification services, the business-data providers already mentioned, and the companies hosting and storing our systems. Where a law requires it, or where a disclosure is needed to protect someone's rights, property or safety, information may go to a public authority. Should the business change hands through a sale or merger, the buyer or successor takes it on and is bound by this same policy.

Contact records stay with us while they serve a purpose, and ones that have become stale are cleared out. Client records, and records of the work done for a client, stay for the length of the engagement and for whatever period our legal and accounting duties then demand. The do-not-contact list is kept for the whole time we approach businesses at all.

Only those whose work requires it can reach personal information, and reasonable safeguards stand against loss, misuse and unauthorized access. Absolute security is beyond anyone's power to promise, and we do not promise it.

Whoever you are, three requests are always open to you: tell me what you hold about me and where it came from; correct it; delete it. Deletion has one carve-out, the do-not-contact entry, retained so that your wish not to be contacted is respected.

Residents of certain states hold further rights under state law: to know, to correct, to delete, and to opt out of sales or sharing of personal information. Since we neither sell nor share it in that sense, the opt-out has nothing to act on; the remaining rights stand and will be honoured.

Exercising a right never changes how you are treated. A request can be made by replying to our email, through the form on our contact page, or by post to the address above. We may check that a request came from the address we originally wrote to before acting on it. Replies go out within whatever period the relevant law sets. An agent you have authorized may ask on your behalf, and evidence of that authority may be requested.

Our audience is businesses and the adults who work in them. Nothing is knowingly gathered about anyone below 18, and anything found to be so is erased.

We work from Tennessee, inside the United States. Our providers process information wherever their own operations sit, and that can include other countries.

A revision to this policy moves the effective date shown above the title. What is on this page is the current version.
